Subjects swaps and refunds
Policy on Additional Subjects, Package Adjustments, Subject Swaps, and Trial Lesson Refunds
All changes to packages, subjects, and trial lessons must be requested via the message board in the dashboard.
- Adding Additional Subjects
- Package Increase: Students may increase their package by adding more subjects at any time during the academic year. The price for these additional subjects will be prorated based on the number of weeks remaining in the current term or academic year.
- Effective Date: The newly added subjects will be available to the student as soon as the request is processed and payment has been confirmed.
- Notice: There is no restriction on when subjects can be added, and they can be requested on a rolling basis throughout the year.
- Removing a Lesson from the Package
- Request Process: If a student wishes to remove a lesson from their package, the family may submit a request via the message board in the dashboard, and the change will take effect at the start of the next half-term.
- Payment During Transition Period: Families are expected to make their next scheduled payment as usual. There are no fees for adjusting the package. However, if a payment falls between the time the request is made and the start of the new half-term, this payment must still be made for the full package.
- Future Payments: After the new half-term begins, future payments will be adjusted to reflect the updated number of subjects in the package, ensuring families pay only for the subjects their child is currently enrolled in.
- Moving from Key Stage 3 to Key Stage 4
- Cost Differences: Transitioning to Key Stage 4 may incur an additional fee due to the advanced curriculum and exam preparation in these classes.
- Maintaining Access to KS3: Students who choose to move up to Key Stage 4 retain access to Key Stage 3 lessons but must accept the increased fees associated with Key Stage 4 classes.
- Notice and Confirmation: Families will be notified of the fee adjustment before the student transitions to Key Stage 4. They must confirm their acceptance of the new fees to finalize the move.
- Swapping Enrolled Subjects (for Contracted Students)
- Eligibility for Subject Swaps: Students on a contract may request to swap one subject for another. Swaps are only permitted if the new subject has the same lesson frequency as the original subject (like-for-like).
- Notice Period: Families must provide a minimum of two weeks’ notice via the message board in the dashboard to request a subject swap. This allows sufficient time to process the change and coordinate with teachers and scheduling.
- Effective Date: The new subject will be available starting from the first lesson after the two-week notice period has concluded, provided all necessary arrangements are in place.
- Fees: There are no additional fees for swapping subjects, as long as the new subject is within the same package and lesson frequency.
- Limitations: Subject swaps are allowed once per term to maintain stability in scheduling and resource planning.
- Refunds for Trial Lessons
- Eligibility for Refunds: Generally, trial lessons are non-refundable. However, if a trial lesson does not meet expectations due to valid concerns, such as:
- Technical issues (e.g., poor internet connection on the teacher’s end),
- Concerns about lesson quality, or
- Other issues raised by the student or parent,
- a new trial lesson will be offered in a different subject or as a repeat of the same subject.
- Assessment-based Trials: Refunds are not provided for trials that include assessments. However, if a student prefers not to proceed with the assessment after the initial trial, they may request a new trial in another subject.
- Swap for Different Subject: If a student is dissatisfied with a trial lesson due to technical or quality issues, they may request a swap to a different subject without incurring additional charges. This swap request must align with a like-for-like subject (i.e., the same frequency of lessons per week).
- Notice of Trial Issues: Any requests for trial lesson swaps or refunds must be made within 24 hours of the trial lesson for timely handling.
- Notice for Subject Swaps: To swap a trial lesson subject, families must provide a minimum of two weeks’ notice before the desired change date. The swap will only be processed if it’s a like-for-like change in terms of lesson frequency.
